Duties and Responsibilities:

Student Application & Admission Administration

  • Collaborates with the campus student retention team to generate student admissions related queries.
  • Follows up with the campus retention team for missing student information in order to finalise all student admissions related queries.
  • Evaluates retention student admissions against the set admission criteria and communicates the appropriate outcomes.
  • Liaises with the campus student retention team during the admission evaluation process and assessment.
  • Escalates admission queries to the Senior Admission Officer and Office of the Registrar.
  • Liaises with the campus Head Academic Operations on the management of declined admissions and expired offers
  • Documents management and issuance of appropriate admission letters.
  • Checks the accuracy of student registration information on an ongoing basis.
  • Determines conditions associated with student admission and follows up on them thereafter.
  • Determines the eligibility of the admittees onto academic programmes.
  • Tracks student admissions through to registration.
  • Reports on admission progress to the Senior Admission Officer and Head: Academic Operations
  • Adheres to established service level agreements of the admissions process set by the organisation.
  • Works with the Finance department on finance related issues of admission.
  • Works with the Senior Admission Officer to ensure admission compliance for the campus.
  • Works with the Academic Operations Manager on national admission projects.
Student Registration Administration
  • Checks pre-requisites for 1st to 2nd semester
  • Verifies registrations against the admission criteria
  • Checks the accuracy of student registration information on an ongoing basis
  • Manages the de-registration and transfer process, and thereafter sends to the Finance department for processing.
  • Follows up on all outstanding documentation and uploads once received.
  • Determines eligibility and captures academic credits.
  • Determines maximum completion time and credit load of such registrations.
  • Maintains student records for a period of two years before archiving the files in line with the data retention regulations of the Protection of Personal Information Act (PoPIA).
  • Ensures compliance of international students from a document perspective.
  • Adheres to the International Student Policy/Procedure and updates reports regularly.
  • Re-audits all registration files in line with the stipulated deadline for the Data Verification Report.
  • Re-audits all registration files by the audit date stipulated by the Registrar, this would include the following; the South African Qualifications Authority SAQA / Universities South Africa (USAF)
  • Tracks and monitors conditional admissions throughout the year such as one module outstanding / Universities South Africa (USAF) / South African Qualifications Authority (SAQA) / combined.
  • Adheres to the established service level agreements of the registration process set by the organisation.
  • Drafts letters for current students such as; Proof of Registration letters, Travel letters, Medical Aid letters, Universities South Africa (USAF) letters, SAQA letters and Study Permit letters.
Graduation
  • Determines eligibility of the graduation cohort including late graduation.
  • Identifies and advises of any students who are graduating outside of their graduation year (exception graduates).
  • Verifies student information for prospective graduates.
  • Prepares Short Learning Programme (SLP) and Corporate offer certificates.
  • Checks the graduation programme for sign off.
  • Ensures that graduation timelines are met.
  • Facilitates qualification certificate re-prints.
Ticket Management
  • Processes assigned admission, graduation & registration tickets received face-to-face or via Assist
Reports & Other
  • Facilitates continuous communication with the Assistant Registrar in relation to resolving the Registrar related queries
  • Complies with The Protection of Personal Information Act (POPIA) legislation relevant to the Admission Centre
  • Performs other ad hoc administrative and/or reporting duties as and when required

Duties and Responsibilities:


Procurement Process

  • Follow up with National for outstanding Purchase Orders
  • Follow up with Vendors for Outstanding invoices and statement / Monthly vendors to load on Freshdesk and get a Purchase Order
  • Follow up with National for vendor payments
  • Follow up with Relevant Departments to send through signed invoices to be sent to CI for payment.
  • Ensure that departments sign all invoices and job cards so that receipting can be done

The Admissions Specialist plays a crucial role in supporting academic excellence by ensuring the integrity of student records, facilitating compliance with policies and regulations, and providing essential services to students and the relevant student recruitment departments.


Duties and Responsibilities:


New Student Admissions and Compliance

  • Ensuring brands compliance with government regulations and accreditation standards related to student admissions and student records.
  • Ensuring brands compliance with data privacy laws (i.e. POPIA) regarding the handling and dissemination of student information.

Duties and Responsibilities:

Administration/Collections/Handover

  • Attend to additional adhoc administrative duties as and when required.
  • Assistance with registration for a specific campus or across campuses including collections relating to current and prior debt accounts for the first quarter of every year at a minimum.

  • Compilation of contracts/statements/Account payer’s documentation for handed over files to be sent to AdVTech Pre-Legal TEAM for hand over to EDC
  • Ensuring all comments / relevant documentation is uploaded and maintained on Excalibur
  • Ensuring queries from Account Payers are raised timeously with the relevant Campus via the Query Spreadsheet
  • Ensuring that queries raised with Campus’s are resolved timeously
  • Ensuring that escalation of accounts for issuing of S129 Notices are done timeously
  • Capturing notes on Excalibur for all accounts worked and feedback received from internal/external stakeholders.

Customer Service

  • Communicates with internal departments as and when required in order to maintain an accurate position on students accounts.
  • Build sustainable relationships and trust with students/account payers through open and interactive communication.
  • Handle account payers complaints, provide appropriate solutions and alternatives. Accurate escalation to Pre-Legal Team Leader as and when required.
  • Attend to queries on IIE Assist as and when necessary.

Quality Management & Reporting

  • All required reports and comments are to be maintained in order for the Pre-Legal Team Leader to change status’s on Excalibur.
  • Ensure notes are captured correctly and information provided in correct format.
  • Have the ability to analyse information and make the correct decision on the way forward.

Duties and Responsibilities:

Business Partnering Across the Campus

  • Plans and manages the finance approach on campus specifically the budget as aligned to the overall campus plan.
  • Supports the overall budgeting process across the campus.
  • Tracks and monitors the budget throughout the year.
  • Monthly analysis of variances. Preparing variance analysis for campus Senior Management Team so comment can be provided.
  • Reviews expenditure and costs and suggests remedial actions to achieve EBIT (Earnings Before Interest & Tax).
  • Forecasts outcomes for year end EBIT and proposes plans in order to achieve the amount or reallocate to business critical area.
  • Works with campus Senior Management Team to review expenditure and advise on approaches to achieve EBIT.
  • Manages the budget preparation process as per the national guidelines.
  • Tracks and communicates the budget to stakeholders monthly.

Management of Internal Controls

  • Implements, monitors and enforces the internal control environment across the campus.
  • Reviews internal controls, identifies risk and makes amendments and recommendations.
  • Manages the asset register and updates in the event of movements and changes.
  • Conducts monthly audit of assets across the campus including working with IT and Facilities for tagging of assets.
  • Monitors the compliance to registration process including documentation, process adherence and accuracy.
  • Reviews, handles and resolves audit findings.
  • Updates and reconciles Fixed Asset register Reconciliations – gives the new asset numbers to the relevant departments to ensure asset are tagged – weekly / monthly.

Debtors Management

  • Drives the achievement of monthly targets for the collection.
  • Tracks and analyses daily performance of the team.
  • Co-ordinates the correct allocation of bank statements to student accounts.
  • Checks that payment plans on student accounts are all loaded correctly.
  • Co-ordinates that all adjustments and refunds are captured as well correct supporting documentation is obtained.
  • Checks that banking is balanced and completed on at least twice a week and all ensures relevant policies and procedures are adhered to.
  • Co-ordinates and oversees the process whereby monthly student statements are emailed and communicated within the specified timelines.
  • Oversees the debt collection process to meet the specified debt collection requirements.
  • Reconciles student bursaries and any necessary adjustments to individual student accounts.
  • Review credit balance report to ensure that correct processing against unit accounts and compliance with regulatory requirements.

Creditors Management

  • Verifies and reconciles purchase orders and invoices.
  • Captures invoices and payment of invoices to creditors accounts.
  • Substantiates individual transactions prior to settlement of those invoices.
  • Makes weekly / monthly payment of creditors.
  • Manages and balances procurement card on campus continuously.
  • Prepares ongoing procurement card reconciliations
  • Captures all new suppliers onto system.
  • Reconciles supplier accounts to creditors ledger.

Student Administration

  • Oversees the administration process related to cancellations, deregistration’s and appeals of student contracts continuously. This includes weekly participation on relevant committee.
  • Manages campus administration for registration process.

Billing and Reporting

  • Balances loan and sweeping accounts weekly.
  • Captures bank statements daily and sends bank reconciliations out monthly.
  • Loads and reconciles salary and lecturer journals – monthly and investigates variances where applicable.
  • Processes and balances monthly General Ledger reconciliation – up to Trial Balance.
  • Oversees the updates of the credit balance report – monthly.
  • Provides weekly cash flow and Capex report.
  • Checks and clears all debit balances from vendor accounts – monthly.
  • Raises accruals for expenses not yet received – monthly.
  • Assists in the drawing up of the yearly budget – normally twice a year.
  • Manages dual reporting responsibilities of all of the above to both National and campus Senior Management Team.
  • Reports on results as part of the campus Senior Management Team.

Finance Team Management

  • Manages Credit Controllers to achieve monthly financial targets and ensures operational effectiveness.
  • Oversees campus finance team to ensure smooth functioning of student administration for the campus.
  • Ensures that finance and operations work together to ensure best student customer service is achieved.
  • Develops, trains and manages performance for the team to ensure optimal performance.

The Postgraduate and Research Centre is seeking a Head of Programme in the Faculty of Commerce. The successful candidate will be based at IIE MSA and will be responsible for overseeing and managing the institution’s Master’s programmes including the Master of Business Administration (MBA).

Duties and Responsibilities:

Academic Leadership and Management

  • Management of the NQF level 9 or NQF level 10 qualification from application to graduation in collaboration with the relevant Academic Support Coordinator.
  • Align with and contribute to the strategic plan of the Postgraduate and Research Centre, in context of the Combined Institution and its vision.
  • Continuously track local and global developments in the field and in postgraduate studies to ensure curricula and practices meet stakeholders current and future needs.
  • Coordinate the curriculum development in collaboration with the centre leadership, and the Deans and Deputy Deans in the combined institution.
  • Identify, brief and monitor module developers and instructional designers and quality assure their outputs.
  • Analyse and report on academic results in context of institutional targets and external benchmarks: throughput rates, progression rates, graduation and completion rates and ensure appropriate interventions are planned and implemented where necessary.
  • Identify moderators for designated modules, review moderators’ feedback and advise problem-solving strategies when required.
  • Manage Quality Assurance (e.g. Peer Reviews, Standardisation Meetings, Programme Reviews, External moderation or examiner reports to provide evidence-based guidance).
  • Track and report on programme performance (e.g. Progress Reports) and stakeholder feedback.
  • Participate in key governance structures and committees (e.g. PCC, Academic Planning and Development Committee, Brands Results, Postgraduate and Research committee).
  • Provide specialist knowledge and support to the national marketing, sales and communication team in planning and managing the promotion of the programme.
  • Lead and manage any additional specific projects as planned and agreed on.

Industry and Reputation Building

  • Act as brand ambassador to external stakeholders in the field/discipline to create programme opportunities and build the programme community.
  • Develop and maintain relationships with industry in the discipline.
  • Serve as the key liaison with professional and academic partners in the field/discipline.
  • Identify and facilitate professional and scholarly activities.
  • Serve on appropriate external partner faculty boards, committees and professional bodies.
  • Provide thought leadership – e.g. produce opinion pieces, participate in relevant industry workshops and deliver at conferences.

Programme Delivery

  • Lecture or co-lecture at least one module on a NQF level 9 programme or deliver and supervise in specialist field to serve as an exemplar of best practice.
  • Identify, approve and orientate leading academics/practioners/supervisors to deliver on the programme and/or to participate in programme development.
  • Plan program delivery and assessment schedule and guide coordination.
  • Lead and implement (guide) relevant and contemporary teaching and learning initiatives based on current industry and research trends to build a programme community.
  • Plan resource allocation for all aspects of running a successful programme.

Postgraduate Research and Student Output

  • Support and co-assess research interest in the application process.
  • Coordinate postgraduate research activities and collaborate with the Deputy Director towards alignment: IIE007 activities including academic seminars, reader reports, HDCs, NAC appointment etc.
  • Provide information, where requested, to the relevant Academic Support Coordinator to ensure the postgraduate tracker and progress reports are updated.
  • Liaise with the relevant Academic Support Coordinator to appoint key role players (i.e. supervisors, readers, external examiners).

Research, Community Engagement and Scholarly contribution

  • Participate in external programme reviews, moderation and examination.
  • Actively contribute towards the research output of the institution – meet individually agreed upon target.
  • Actively contribute towards the community engagement imperative of the Postgraduate and Research Centre and the Combined Institution.
